For wedding planners and venue coordinators.

Everything you need to brief clients, confirm logistics, and integrate the portrait service into the day — without it becoming something you need to manage.

Caleb arrives, works through the celebration, and packs down quietly.

The briefing happens beforehand — a short exchange covering arrival time, room position, any priority guests, and the schedule. On the day, I run independently. The three things to coordinate: arrival time, setup space, and a schedule touchpoint at the start.

Arrival

20–30 minutes before the collection's start time.

Setup

A small table (~60 × 90cm), a chair, and good ambient or directed light.

Schedule

A brief check-in at start and finish. If the schedule shifts, Caleb can flex — extended time at the agreed enhancement rate.

Where it lives in the day.

Drinks reception only (Glow or Lounge)
Caleb begins as guests arrive for drinks and finishes before the wedding breakfast. The cleanest, most self-contained placement.
Evening reception only (Glow or Lounge)
Works well in rooms with good evening light.
Drinks and evening (Presence)
Across two moments, with a natural break built in — typically the wedding breakfast.
Full arc (Residence)
Across two or three moments, shaped in conversation around the specific timings of the wedding.

FAQ for planners

Both work. I can roam entirely, use a dedicated corner, or mix the two — whatever suits the room layout. The default is a small table in a well-lit corner, with roaming in between.

Nothing is required. Many couples prefer the service to be discovered rather than announced — this tends to create better moments. If there are specific guests you'd like briefed in advance, that can be arranged.

I'm flexible. If the reception runs long and you'd like me to stay, extended time is available at the agreed enhancement rate, subject to prior discussion.

Yes, and often well. The drawing process is visually interesting to film. Caleb and the photographer will naturally navigate the room without coordination required.

Arrival confirmation, the name of the day coordinator, and the table or corner position. That's it. I manage the rest independently.
